As a nonprofit consultant and legal template specialist with over 12 years drafting compliance documents for U.S. 501(c)(3) organizations, I’ve helped hundreds of charities issue proper 501c3 donation receipt letters that satisfy both donors and the IRS. In this article, you’ll get a completely free, fully editable 501 c 3 donation receipt template (Word & PDF) plus exact guidance on what the IRS requires in 2025 so your donors can confidently claim their charitable contribution deduction.
The IRS is crystal clear: No charitable donation over $250 can be deducted without a written acknowledgment from the 501(c)(3) organization (IRC § 170(f)(8) and Publication 1771). Issue the wrong charitable donation receipt letter and your donor’s deduction can be disallowed—even if they actually gave the money or goods.
A correct nonprofit donation receipt letter protects your donors and protects your organization from liability.
According to IRS Publication 526 and Publication 1771 (both available on IRS.gov), every tax deductible donation receipt for contributions of $250 or more must include:

Dear [Donor First Name], Thank you for your generous contribution of $[Amount] received on [Date of Gift]. No goods or services were provided in exchange for this fully tax-deductible donation. [Organization Name] is recognized by the Internal Revenue Service as a 501(c)(3) tax-exempt public charity. Our EIN is XX-XXXXXXX. Please retain this donation receipt letter for tax purposes as your official record to substantiate your charitable contribution deduction. Sincerely, |
Key difference: Never state the fair market value—that is the donor’s responsibility.

Dear [Donor Name], On [Date Received], we received your generous non-cash contribution described as: Description: [e.g., 12 boxes of new children’s books, 2020 Toyota Camry VIN: XXXXXXXXXXXXXXX, used office furniture consisting of 6 desks and 20 chairs in good condition] No goods or services were provided to you in exchange for this gift. [Organization Name] is a 501(c)(3) public charity (EIN: XX-XXXXXXX). This letter serves as your official receipt for charitable donation of property for income tax purposes. |
If the donor received something of value (dinner, concert ticket, etc.), you must disclose the fair market value.
Example wording:
“You received event admission with a fair market value of $125. Therefore, only the amount exceeding $125—namely $[Amount Paid – 125]—qualifies as a charitable contribution.”
Many donors love receiving one cumulative tax donation letter from nonprofit in January. It increases goodwill and reduces your administrative work.
The template includes a table listing every gift during the calendar year—perfect for donors with multiple contributions.
Do I need to issue a receipt for donations under $250?
Not required by the IRS, but strongly recommended for donor relations.
Can I email the donation receipt?
Yes—since 2017 the IRS accepts electronic acknowledgments (see Publication 1771).
What if we accidentally provided a benefit (raffle ticket, t-shirt)?
You must use the quid pro quo disclosure if the benefit exceeds $75 (or lower thresholds in some cases).
Do churches have to issue 501c3 donation letters?
Yes—churches are 501(c)(3)s and must follow the same rules for contributions ≥$250.
