Whether you’re selling a used car, truck, motorcycle, or RV between private parties, a properly completed car sales agreement template Word or PDF protects both sides and satisfies most DMV requirements across all 50 states. Download links are at the bottom of this page.
Every week I still see sellers hand over keys with nothing more than a handwritten note or a generic printable bill of sale for car pulled from the internet. Months later they get calls from the DMV, tax authorities, or even police about unpaid tickets, tolls, or accidents. A proper sale of vehicle agreement eliminates 95% of these headaches.
According to the National Highway Traffic Safety Administration, over 40 million used vehicles change hands privately each year in the U.S. — and the majority lack adequate paperwork.

1. Vehicle Information
Enter the 17-digit VIN exactly as it appears on the title (never trust the door sticker alone). Include make, model, year, body style, and current odometer reading in miles.
2. Buyer and Seller Details
Use full legal names and current addresses. The address on this agreement for sale of vehicle should match the address on each party’s driver’s license.
3. Sale Price and Payment Method
Be specific: “$8,500 paid via cashier’s check #1234 from Chase Bank on 11/19/2025.” This helps both parties at tax time.
4. Odometer Disclosure
Federal law requires an accurate reading for vehicles under 16 years old (10 years in some states). Check the correct box: actual mileage, exceeds mechanical limits, or not actual (exempt for vehicles over certain age/weight).
5. “Sold As-Is” Language
My template includes strong yet fair as-is wording that has held up in small claims courts nationwide. If you are offering any warranty, delete the as-is paragraph and insert your specific terms.
6. Signatures
Both buyer and seller must sign and date. In states requiring notarization, wait to sign until in front of the notary.

Many people search for a “printable bill of sale for car” thinking that’s sufficient. While a simple bill of sale meets the minimum requirement in most states, a detailed car sales contract template Word or PDF gives far greater protection. Think of the bill of sale as the receipt and the full agreement as the contract.

Do I need a notary for a private car sale in most states?
No. Only a notary is required only in about 7 states for the bill of sale or title transfer.
Can I write “gift” and put $0 to avoid sales tax?
Only if the vehicle is truly a gift with no money changing hands. False statements can result in tax fraud penalties (see IRS.gov Topic No. 421).
Should I give the buyer both copies of the title?
No. Sign the title, but keep a photocopy and the signed sale agreement for your records.
What if the buyer never registers the car and I get tickets?
File a “Release of Liability” or “Notice of Transfer” with your state DMV within 5–10 days (requirements vary). The sale agreement proves the date you transferred ownership.
